Every business runs on a few processes that hurt

Leave requests on paper. Purchase orders approved by email. Job sheets photographed and typed up on Friday. Invoices matched by hand. None of it is hard to fix, and most of it can be fixed with tools included in your Microsoft 365 subscription.

BDL IT maps the process with the people who do it, rebuilds it as a form, a flow and a place the data lives, and trains your team. Where an off-the-shelf application already does the job, we say so and help you set it up instead.

What we deliver

Process mapping

An afternoon with the people who run the process, a one-page diagram of how it really works today, and a version of how it should work. Half the value is in the conversation.

Forms and approvals

Microsoft Forms and Power Apps for capturing requests - leave, expenses, purchase orders, site inspections, incident reports - with approvals routed through Teams and Outlook and a full audit trail.

Workflow automation

Power Automate flows that do the chasing: file the document, notify the manager, update the register, create the invoice, remind the customer. Errors surface to a person instead of disappearing.

Document management

SharePoint set up with sensible libraries, metadata and retention so the right version is the only version, and nothing important lives only in someone's inbox.

Line-of-business integration

Connecting workflows to Xero, MYOB, your job management or CRM system, and your print fleet, so data is entered once. Custom connectors where the vendor does not provide one.

Reporting

Power BI dashboards on the data these workflows create: what is outstanding, who is waiting, where the bottlenecks are.

Typical projects

  • New starter onboarding - one form triggers accounts, licences, equipment, inductions and a welcome pack
  • Purchase requests - staff request, manager approves in Teams, finance sees it in the ledger, nobody emails
  • Field job sheets - technicians capture photos and sign-off on a phone; the office gets it instantly
  • Contract and document approvals - version control, sign-off history and reminders
  • Customer feedback and complaints - logged, assigned, escalated when overdue, reported monthly
  • Invoice matching - supplier invoices read automatically and matched to purchase orders (with AI document processing)

Good fit if...

  • You have Microsoft 365 Business or Enterprise licences
  • Approvals happen by email or on paper
  • The same data is typed into more than one system
  • Nobody can say what is outstanding without asking around
  • Your "system" is a spreadsheet with tabs

Common questions

Do we need extra licences for Power Apps and Power Automate?

Most Microsoft 365 business plans include enough to build forms, approvals and flows that work with SharePoint, Teams and Outlook. Premium connectors - to Xero, SQL databases or on-premises systems - need a per-user or per-app licence. We tell you before we build anything that needs one.

Can our own staff maintain what you build?

That is the point of using the Microsoft tools: they are visual, documented and widely known. We hand over with training, and we are happy for your team to make changes. Where a change is risky we can review it first.

What if we are not on Microsoft 365?

We work with Google Workspace too, and with standalone tools where they fit better. The approach is the same: map the process, pick the plainest tool, integrate what you already own.

How long does a workflow project take?

A single form-and-approval workflow is typically a two to three week project including training. Larger pieces such as onboarding or document management are staged so something useful is live within the first month.
